Who we are

Our website address is: https://plumessencetherapies.co.uk.  I am Tracey Nixon trading as PlumEssence Therapies and Training (“PlumEssence”).

What personal data we collect and why we collect it

I respect your right to privacy and the protection of your personal information.  I am regulated by the professional bodies of which I am a member, or registered with.  I adhere to their guidelines and that of my insurance requirements of how information is collected, stored and retained.  This is considered to be the lawful requirement and legitimate interest reasons for collecting and storing data.

I collect and process various types of information about you.  Your basic personal information is: your name, address, contact telephone numbers, email address and your date of birth and some of this is stored electronically as detailed below.  Other more sensitive information is in relation to your treatments, which is not retained electronically.

Tracey is careful about the third party suppliers she uses too, upon which only your basic information is electronically stored.

Who we share your data with

The electronic systems used are:

Timely Limited – the on-line diary management and booking system which is used to hold your basic personal information.  The communication you receive direct from Timely is the provision of email and text reminders of your appointments, details of changes to your appointments and cancellation of appointments.  Information retained is the history of the dates of treatments with PlumEssence.  Timely is also linked to Stripe and Xero.  You have the right to request to not receive reminders. Xero UK Ltd – is the accounting suite used for PlumEssence accounts.  Basic personal information is transferred from Timely to Xero. The communication you receive from Xero is the provision of your invoice for your treatments, courses or workshops and reminders of payment of those invoices.  Xero is linked to GoCardless and Stripe.  You have the right to request to not receive invoices and payment reminders. Stripe Inc. – is the credit card payment system used linked to Timely and Xero.  It is you, the PlumEssence customer’s choice whether to use the Stripe credit card payment system.  Details of your credit card are not made known to PlumEssence.  Stripe’s privacy policy https://stripe.com/gb/privacy

GoCardless Ltd – is the online payment system linked to Xero.  It is you, the PlumEssence customer’s choice, to use the GoCardless payment system.  Although detailed as a direct debit system, the automatic payment system is not activated by PlumEssence and payments are only made upon your authorisation. SumUp Payments Ltd – are used occasionally for taking payments when away from the PlumEssence premises.  Details of your payment card are not made known to PlumEssence. SumUp’s privacy policy to me as a customer: https://sumup.co.uk/privacy/

The Royal Bank of Scotland plc is the bank account system used for when customers pay using bank transfers. Details of your bank account is not provided to me.  rbs.co.uk/privacy

As of May 2018, the mobile phone systems used by PlumEssence are Samsung and Virgin Media.  The email system is Microsoft Outlook.

None of your personal information is tracked on my website, which is a WordPress platform hosted by TSOHosts.

Comments on blog posts:

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Contact forms:

Information supplied from the contact form is emailed to tracey@plumessencetherapies.co.uk.  This email address is retained in the email provider Microsoft Outlook and will be used to respond to your enquiry.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website

How long we retain your data

Your information is never sold or transferred to a third party for their own marketing purposes, purely for PlumEssence administration purposes which is supported for legal regulatory requirements. Your paper records are retained as per the legal and regulatory insurance requirements, which is for a minimum of 10 years, up to 25 years, from the date of the last treatment, depending on the treatments received.

Apart from regulatory requirements as detailed above, If you leave a comment on blog posts, the comment and its metadata are retained indefinitely by WordPress. This is so they can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.
